Position MissionEnsure the operational execution of the entire training process: logistical coordination, administrative management, liaison with suppliers and participants, attendance monitoring, trainer support, reporting, and documentation compliance.The Training Officer Specialist ensures that every training activity is prepared, delivered, and closed in accordance with internal standards, legal requirements (HSE/ISO), and departmental objectives.2. Key ResponsibilitiesA. Operational Coordination of Training SessionsPrepare sessions: invitations, participant lists, logistics, rooms, equipment.Manage day‑to‑day operational coordination with internal and external trainers.Oversee on‑site execution: welcoming participants, providing support, handling contingencies.Collect and archive attendance sheets and D+0 evaluations.Ensure compliance with internal procedures and HSE requirements during sessions.Manage operational issues on the day of the training (absences, equipment, site access, etc.).B. Administration & Documentation ManagementManage all training documents: programs, trainer CVs, training materials, NDAs.Follow up on External Training Procurement Requests in coordination with Procurement.Update and organize documents on SharePoint, OneDrive, and the LMS.Maintain accurate and up‑to‑date training files, records, and histories.C. Internal Communication & CoordinationHandle invitations, confirmations, reminders, and participant communication.Ensure daily coordination with HSE, Arable Operations, Maintenance, and other departments.Provide clear, timely, and professional information to managers and teams.D. KPI Tracking & ReportingPrepare weekly and monthly training reports.Consolidate D+0 evaluations, participation levels, attendance rates, and feedback.Support the preparation of overall post‑training evaluation reports.E. Supplier Relations & Logistics CoordinationContact training providers, manage quotations, availability checks, and session confirmations.Ensure smooth arrival and logistics for external trainers (transport, accommodation if needed).Verify administrative compliance of suppliers (NIF, registration, certifications).3. Required CompetenciesTechnical SkillsStrong organizational and operational coordination skills.Rigorous administrative management.Proficiency in MS Office (Excel, Word, PowerPoint).Strong written and verbal communication (English mandatory).Ability to apply and comply with formal procedures.Basic knowledge of HR / training / logistics is an asset.Behavioral SkillsHigh level of rigor, reliability, and organizational skills.Dynamism, energy, and proactivity.Strong attention to detail and consistency.Ability to manage multiple priorities simultaneously.Professional attitude and strong internal customer‑service orientation.Curiosity, adaptability, and willingness to grow.Proactive mindset, anticipation, and ability to manage unforeseen situations.Strong interpersonal skills and team spirit.4. Position CharacteristicsCross‑functional role interacting directly with various departments (HSE, Operations, Procurement…).On‑site presence required during training sessions.Position with strong development potential leading to solid expertise in training management and learning operations.
